Exhibitors and Support Information

The MRMs are the only professional meetings in the U.S. designed exclusively for student pharmacists. This is the place to be if you want to get that one on one interaction with students. All exhibitors who register by the Friday, three weeks prior to the start of each MRM will be listed in the MRM Final Program. Exhibitor Registration will be accepted through the Friday, one week prior to the start of each MRM. The Expo is always held on Saturday of the meeting from 12:30 pm-2:00 pm. Set-up starts at 11:00 am.

MRM Expo Fees

The MRM Expo booth cost includes a complimentary MRM registration for two exhibitor representatives. (These registrations are not to be used for students attending the meeting).  

Cost for Local, Regional, and National Community Pharmacies, Corporations, Hospitals, Pharmaceutical Companies, Pharmacy Fraternities, National Pharmacy Associations/Organizations. 
$2,650 - For All 8 Locations ($150 Savings) 
$350 - Per Region
Additional Cost: $40 per person, per region for additional booth attendees, maximum of four people per booth. A gourmet lunch box can be added in at $40 per person.

Cost for Local/State Pharmacy Associations and Residency/Fellowship/Graduate Programs 
$1,070 - For All 8 Locations ($50 Savings) 
$140 - Per Region

Refund/Cancellation Policy

All registration cancellations must be in writing and received by the APhA Registration Manager, Nicole Whatley (NWhatley@APhAnet.org) three weeks prior to the Friday start of the meeting, and are subjected to a $75 administrative fee. No refunds will be made for cancellations received 20 days before the Friday start of the regional meeting.

Contract Regulations

The completed Exhibit Registration/Contract and subsequent notice of assignment constitute a contract between the American Pharmacists Association (hereafter referred to as "APhA") and the exhibitor. The following rules are part of the contract. Any point not specifically covered in these rules are subject to the decision of APhA, whose decision shall be final. 

Eligibility for Exhibiting 

In keeping with the educational purposes of the MRM Expo, any exhibitor whose proposed exhibit will enhance the educational purpose of the MRM Expo is eligible to apply for exhibit space.

Exhibit Assignments
Assignments will be made by APhA staff.

Cancellation
Exhibitors shall have the right to cancel this agreement at any time by written notice to APhA. Exhibitors canceling space three weeks prior to the event will receive a refund minus a non-refundable administrative fee of $75. No refunds will be made for cancellations received 20 days before the Friday start of the regional meeting.

Exhibit Booth
APhA will provide the following: a 6 foot draped table and appropriate signage identifying the exhibitor's name. Only tabletop exhibits will be permitted. Electrical setups are not provided. 

Distribution of Materials
To help the students focus on gaining information, only career and professional development related information will be permitted to be distributed in the exhibit area. Representatives should provide handouts or brochures that address career related topics (e.g. employment opportunities, internships, fellowships, graduate studies, residency and scholarship information). 

Use of Space
In keeping with the educational purpose of the MRM Expo, sales and order-taking (entering into a contract of sale) are prohibited on the exposition floor and other related convention areas during the APhA-ASP Midyear Regional Meetings. No exhibitor is permitted to promote products, equipment, or services other than their own. If an article of a non-exhibiting firm or business is required for the operation or display of an exhibitor's wares, identification of such an article shall be limited to the usual and regular nameplates, imprinting or trademarks under which the article is sold in the regular course of business. No subletting or sharing of space is permitted. All activities must be confined to the limits of rented space, and must not impede traffic or interfere with the activity of other exhibitors. APhA may evict exhibitors who, because of noise, conduct of personnel, methods of operation or any other reason, detract from the general educational character of the meeting. In the event of an eviction, APhA will not issue a refund. 

Protection of Exhibition Facilities
Exhibitors shall not deface any part of the exposition facility. The cost of repairing any damage to the facility caused by the exhibitor, its employees, representatives or agents will be billed to and paid by the exhibitor. Nothing can be taped, tacked, nailed, screwed or otherwise posted to columns, walls, floors, ceilings, furniture or other property of the exhibit facility. 

The exhibitor is responsible for knowledge of and compliance with all union requirements and fire and safety codes established by the exhibit facility.

Liability and Insurance 
The exhibitor is responsible for any claims arising out of its own negligence, or out of the negligence of its employees or agents. The exhibitor shall be responsible for protecting its own property to its full value, either through purchased insurance or self-insurance. APhA will not assume responsibility for any loss or damage to exhibitor property.

APhA does not act as the agent of the exhibitor, the facility, the general service contractor or any other party. Claims against any party other than APhA are to be submitted directly to the party involved. 

In the event that the APhA MRM Expo is canceled, or the exhibitor does not participate due to circumstances within the control of APhA, the liability of APhA shall be limited to a refund of all monies paid by the exhibitor as exhibit booth rental and registration fees. 

Americans with Disabilities Act (ADA)
Each exhibitor is charged with knowledge of all laws, ordinances and regulations pertaining to the Americans with Disabilities Act (ADA). Compliance with the ADA is mandatory for all exhibitors and the sole responsibility is that of the exhibitor so far as ADA relates to exhibit space. The exhibitor agrees that it will comply with any provisions of the ADA which are applicable to the exhibitor's space. 

APhA has no responsibility pertaining to the compliance with laws as far as individual exhibitor's space, material and operation is concerned. The facility shall be responsible for all accessibility requirements under the ADA relating to the exhibit space and attendant facilities. APhA shall be responsible for those readily achievable, non-permanent accessibility requirements of the ADA which are applicable to APhA if not otherwise provided by the facility. The exhibitor agrees that it will comply with any provisions of the ADA which are applicable to the exhibitors’ space.

  • An electronic invitation will be sent to all APhA-ASP members (34,000) encouraging their MRM attendance. Supporter’s name, logo, and link to website will be prominently featured within the invitation.

  • The MRM2017 lanyards will feature the supporter’s name/logo for all attendees to wear throughout the weekend.

T-Shirts (Regional)

The Opening General Session on Friday night serves as a motivational start to student programming at the meeting. Supporters will be recognized during the session.
